Adding 006 or 007 Tags

Adding a 006 or 007 tag in the Editor window opens the Material Characteristics Selection or Physical Description Selection dialog box so that you can select the fixed field option you want to use.

  • Material Characteristics Selection- Allows you to add an Additional Material Characteristics (006) fixed field. The 006 tag allows for additional fixed field elements not provided in a single format. You can use a 006 field to describe a title that has more than one format. The 006 functions as an auxiliary fixed field–to be added when the fixed field for the format you have chosen is insufficient. The 006 asks for the same information as the related format fixed field. The 006 is repeatable, and used for additional aspects of a single item, as well as for accompanying material grouped under a single title record.
  • Physical Description Selection – Allows you to add a Physical Description Fixed field (007). When exporting MARC records using the MARC Export Utility wizard, the 007 field is exported as a fixed-length field (similar to the 005 and 008 fields). If the data in the 007 field is shorter than the length set for the specified material type, the export programs will add spaces to the end of the entry text to make it the length specified by the MARC standard. This special processing does not apply to records exported in flat ASCII format, but only to records exported in MARC format.

Adding a 006 tag

  1. Use the Before or After helper to add the 006 field, and then press TAB or ENTER. The Material Characteristics Selection dialog box appears.
  2. In the Form of Material list, select the form of material you want to use, and then click OK.
  3. Double-click the element you want. A drop-down arrow appears on the right side of the Editor window.
  4. Click the drop-down arrow to open a list of available fixed field elements for this field.

Adding a 007 tag

  1. Use the Before or After helper to add the 007 fixed field, and then press TAB or ENTER. The Physical Description Selection dialog box appears.
  2. In the Category of Material list, select the category of material you want to use, and then click OK.
  3. Double-click the element you want. A drop-down arrow appears on the right side of the Editor window.
  4. Click the drop-down arrow to open a list of available fixed field elements for this field.
  • If you attempt to save invalid 006 or 007 fixed field information, the Record Editor will display a message and report the tag number of the invalid field.
  • You can toggle between the insert and overstrike modes in the 006 and 007 fields.
  • If a 007 tag is part of your template, you must use the drop-down arrow to expand the field and allow the Physical Description Selection dialog box to appear.
  • The type code, the first character of the 007 field, is read-only, since changing this code invalidates the rest of the 007 field text. To change the type code, you should delete the 007 field and create a new one.

006 – Removing an 006

  • To remove an 006 template, enter the value NONE (in capital letters) into the TypeCode field of the existing 006 entry and select OK to update the record.

Barcodes

  • Barcodes are available from Receiving.
  • Barcodes should be placed ½ inch from the top and 1 ½ inch from the gutter on the inside, back cover, or ½ inch from the top and 1 ½ inch from the left side of the back page if a dust jacket would cover it on the other side.

  • A note to describe damage that has been done to an item should be added to the bibliographic record using the 583 field.

Gift Labels

  • Type the name in the 945 field the way it appears on the gift label – First M. Last. Gifts from the BYU Alumni Association should say “BYU Alumni Association” (without the quotes). Anything on the gift label should be included in the 945 field.

There is a period at the end of the field.
